- Introduction
Euromove & Relocation collects and processes certain personal data from individuals or service users in order to provide moving, relocation and related services. This information may be collected on paper, electronically or through correspondence and must be handled lawfully, securely, and transparently.
This Policy ensures compliance with:
- the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data,
- the Hungarian Data Protection Act (Act CXII of 2011) on Information Self-Determination and Freedom of Information (Hungary),
- and other laws and bylaws including FIDI FAIM 3.2 (www.fidi.org).
This Policy describes the principles, purposes, and conditions under which we process personal data.
- Scope of the Policy
This policy together with the General Terms and Conditions of our services applies to all services provided by Euromove & Relocation within in the EEA countries and internationally.
„Client” or „you” refers to:
- private individuals
- corporate partners worldwide
- subcontractors involved in service provision
- employees.
The Data Handling Approval Form forms an integral and mandatory part of this Policy and must be completed and signed by every client with whom Euromove & Relocation establishes contact or enters into a contractual relationship.
By completing, signing, and submitting the Data Handling Approval Form — as well as by providing any further forms, declarations, correspondence (including e-mails), or documents containing personal data — the client explicitly confirms that they:
- Have been fully informed about the purposes, legal bases, and conditions of Euromove & Relocation’s data processing activities;
- Understand and accept how their data will be collected, stored, transferred, and used;
- Give their explicit and voluntary consent for Euromove & Relocation to process all personal data required for service provision, including identification documents, photographs, customs documentation, and any related information;
- Acknowledge that Euromove & Relocation may share their data with subcontractors, international partners, insurers, authorities, and other service providers solely for the purposes described in this Policy; and
- Confirm that providing personal data via any communication channel (including submission of ID copies or documents by e-mail) constitutes informed consent to Euromove & Relocation’s data handling practices.
Submission of the signed Form — or the transmission of any personal data required for service delivery — shall therefore constitute the client’s formal acceptance of Euromove & Relocation’s data processing framework.

Euromove & Relocation is not legally required to appoint a Data Protection Officer.
- Data Protection Principles
We process personal data in accordance with the following GDPR principles:
- Lawfulness, fairness, and transparency – data collection and processing follow clear legal bases.
- Purpose limitation – data is collected for specific and lawful purposes.
- Data minimisation – only data strictly necessary for service provision is collected.
- Accuracy – data is kept current and correct.
- Storage limitation – data is retained only as long as necessary.
- Integrity and confidentiality – data is protected against unauthorized access, alteration, or loss.
- Accountability – Euromove & Relocation ensures and demonstrates compliance.
- Information We Collect
We may collect and process the following categories of personal data:
5.1 Data you provide to us:
- name, address, date of birth, email, phone number,
- identification documents (ID card, passport, driving licence, tax card),
- personal documents required for customs and/or immigration formalities,
- photographs when necessary,
- any other information required to verify eligibility to receive our services.
5.2 Data necessary for service delivery:
We work with partners and subcontractors such as:
- international moving partners,
- relocation partners,
- transportation companies (air, sea, road, rail),
- customs and border authorities,
- insurers,
- banks and payment service providers,
- IT, analytics, accounting or fraud prevention partners.
5.3 Data for compliance and auditing:
To meet international quality standards (e.g., FIDI FAIM audits) some data is shared strictly for audit and certification purposes.
- Purposes for Lega Bases for Processing
Your personal data is processed for the following purposes on these legal bases:
6.1 Service provision
- performing contractual obligations,
- organising transport and customs clearance,
- communicating with you throughout the moving or relocation process.
Legal basis: performance of a contract; compliance with legal obligations.
6.2 Anti-fraud, identity verification, compliance
Legal basis: legal obligation; legitimate interest.
6.3 Customer communication, service improvement
- contacting you regarding services that may interest you (only with consent),
- processing forms and service requests.

6.4 Employer-related data processing
- employment administration,
- contract preparation,
- mandatory reporting to authorities.
Legal basis: legal obligation; employment contract.
- Data Sharing and Transfers
Personal data may be shared with the following categories of recipients:
- Service subcontractors (in Hungary, the EEA, and outside the EEA),
- Hungarian authorities,
- accounting and payroll service providers,
- insurers and financial institutions,
- IT and cloud service providers,
- auditors and quality assurance organisations (including FIDI).
7.1 International data transfers
If personal data is transferred outside the EEA, Euromove & Relocation ensures appropriate safeguards, such as:
- EU–US Data Privacy Framework (DPF) for certified US-based partners,
- Standard Contractual Clauses (SCCs),
- adequacy decisions (e.g., Switzerland, Israel),
- or other GDPR-compliant legal bases.
We do not transfer employee data outside Hungary.
- Data Security
Storage and Processing of Your Data:
The data we collect from you will be transferred to, and stored at, a destination inside the European Economic Area (EEA). As we provide an international service, your data may be processed outside of the EEA in order for us to fulfill our contractual obligation to provide our services to you. We will take all steps necessary to ensure that your data is treated securely and in accordance with this privacy policy.
Handling of Employee Data:
The personal data of our employees will only be stored and kept in Hungary and will not be transmitted outside of Hungary.
Data Security and Storage:
All information you provide to us is stored on our secure servers. Data can only be accessed by our duly authorised personnel.
Risk of Internet Data Transmission:
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted through e-mail or on our site; any transmission is at your own risk.Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
- Data Retention
Personal data is kept only for as long as necessary:
- during the provision of services,
- then deleted unless retention is required by law.
Where legal retention applies (e.g., tax or accounting documents), data may be preserved for up to 6 years, unless legislation changes
- Your Rights
You have the right to:
- request access to your data,
- request correction,
- request deletion (subject to legal limitations),
- object to processing,
- request restriction of processing,
- request portability of your data,
- withdraw consent at any time,
- lodge a complaint with the Hungarian Data Protection Authority (NAIH).
Withdrawing consent or restricting processing may limit our ability to provide services.
- Responsibilities of Euromove & Relocation
Euromove & Relocation ensures that:
- all staff follow the data protection rules,
- subcontractors and partners comply with GDPR requirements,
- data protection processes are regularly reviewed,
- breaches are handled promptly and appropriately.

This Policy is reviewed regularly to ensure continued compliance with GDPR, Hungarian law, and international best practices. Updates will be published on the company website.
